Cancellation Policy

At Calleva Clinic, we understand that unforeseen circumstances may require patients to cancel or reschedule their appointments. However, it is important to maintain an organized schedule and provide timely care to all our patients. This cancellation policy outlines the guidelines and procedures for cancellations, rescheduling, and missed appointments. Please carefully read and familiarize yourself with the following policy

  1. Cancellation and Rescheduling: a. Patients are required to provide a minimum of 24 hours' notice for cancellation or rescheduling of appointments. b. Cancellations or rescheduling requests should be made by contacting our clinic or through our designated online appointment management system. c. Appointments cancelled or rescheduled within 24 hours of the scheduled time will be considered as short notice cancellations.

  2. Short Notice Cancellations: a. For short notice cancellations, a fee may be charged to the patient. The amount of the fee will depend on the nature of the appointment and in most cases will be deducted from the deposit paid on booking. b. The fee for short notice cancellations will be communicated to the patient at the time of scheduling the appointment or during the cancellation/rescheduling request.

  3. Missed Appointments (No-Shows): a. A missed appointment or no-show is when a patient fails to arrive for their scheduled appointment without providing any prior notice. b. Patients who miss their appointments without prior notice may be subject to a missed appointment fee which will be deducted from the deposit paid on booking. c. The missed appointment fee will be communicated to the patient after the missed appointment occurs.

  4. Exceptions: a. In cases of emergencies or unavoidable circumstances, where patients are unable to provide the minimum 24 hours' notice for cancellation or rescheduling, the cancellation fee may be waived. Documentation or evidence of the emergency may be requested. b. The clinic reserves the right to make exceptions to the cancellation policy based on individual circumstances and discretion.

  5. Payment of Fees: a. Fees will usually be deducted from deposits paid on booking. B. Any additional or applicable cancellation or missed appointment fees must be paid within 28 days of the occurrence. c. Failure to pay the fees may result in the inability to schedule future appointments.

  6. Changes to the Cancellation Policy: Calleva clinic reserves the right to modify or update this cancellation policy at any time. Any changes will be communicated through our clinic's website or by other appropriate means.
